Lump sum funding in Erasmus+ projects: practice, lessons, impact

In the current Erasmus+ Programme 2021-27 the lump sum funding model was introduced for most project opportunities. This funding model has an impact on all phases of the project cycle. The model was introduced with the aim of reducing the administrative burden in managing such projects, reducing the risk of errors in administration, and thus also simplifying access to financing for a larger number of organizations. While this change offers opportunities, several challenges in the application for and implementation of Erasmus+ projects remain: legal aspects, different interpretations and also diverging practices. 

Objectives 

The main goal of this staff training is to share experiences and expertise with regard to the lump sum model during application phase (pre-award) and project implementation (post-award) within Erasmus+ projects.

Thursday 14/11/2024 

• Budget preparation and calculation for lump sum projects 
• The impact of lump sum funding on project management: consortium agreement, record keeping, use of timesheets (or not), progress monitoring, (final) reporting 
• Social programme 

Friday 15/11/2024 

• Gathering feedback and designing recommendations 

Added value of the mobility 

• Competence accumulation 
• Sharing of expertise with other Erasmus+ project advisors and project managers 
• Building a network to support project preparation and implementation 

Expected outcomes and impact 

Through knowledge sharing among the participants, we aim to identify the best practices and draft recommendations on the implementation of the lump sum funding model in Erasmus+ projects. 

Participants profile 

For this staff training we would like to welcome all university staff members having  

• expertise in managing and/or participating in Erasmus+ projects  (KA2, KA3, Jean Monnet) 
• expertise in dealing with financial issues within Erasmus+ projects  
• legal expertise in contracting and consortium agreements 

Practical 

Training dates: starting Wednesday afternoon on the 13th of November until Friday noon the 15th of November 2024 (2 full days, without travel). Participants are expected to be present in Ghent and actively participate during the complete training period.
